iCloud sync

Koalafied™ keeps your practice records on your devices and syncs them through your iCloud and Apple ID. The developer does not host that data and cannot see it.

What syncs automatically​

When iCloud Sync is on (it defaults on when the device is signed in to iCloud), small records move between your Apple devices through your own iCloud. That usually includes:

  • Sessions
  • People
  • Paths and milestones
  • Programmes and related settings that belong with those records

These updates are typically quick. Timing still belongs to Apple’s iCloud, not to a Koalafied server.

Records sync whether or not you turn on audio sync. See the next section for files.

What does not sync automatically​

Audio and other large files stay on the device that imported or recorded them until that device uploads them. Video never syncs.

Large files use space in your iCloud, so you choose when each file leaves the device that holds it. Turning on Sync Audio Files does not make audio appear everywhere at once. Each device signed in to the same Apple ID has its own audio preference, and an upload still has to run from the device that has the file.

Imported transcripts that are part of a session record can travel with the small records when they are present. That is separate from uploading a large audio file.

Uploading a file​

You manage sync under Settings → iCloud Sync:

  • iCloud Sync defaults on when you are signed in to iCloud. You can turn it off or on at any time.
  • Sync Audio Files defaults off. Turn it on on a device when you want that device to upload audio it holds.

You can also start or check an upload from a session’s own audio row.

In the app, a file’s status uses wording such as:

  • Ready to upload
  • Waiting for iCloud to start
  • Uploading
  • Uploaded and waiting for confirmation
  • Available on this device

For the uploading device to do its part, keep it awake with Koalafied open until the upload has progressed. Apple still decides when the transfer runs on the network.

Timing and limits​

There is no guaranteed start time and no progress percentage you can treat as an ETA. Small records often arrive in seconds to minutes. A large audio file can take considerably longer, and it may sit waiting before it starts. Koalafied does not promise instant sync, fixed wait times, or a progress bar for iCloud transfers.

Before you rely on it​

Keep a backup before you erase or replace a device

A file only exists on one device until it has uploaded and been downloaded elsewhere. Before you erase, migrate, or replace a device, make a ZIP backup so records and media you care about are safe. See Import and export.

Troubleshooting​

This checklist may change with app updates. Use it as a starting point when something has not arrived.

  1. Check that you have free space in iCloud storage.
  2. Confirm the Apple Account is signed in and iCloud Drive is on for that account.
  3. Check the network connection.
  4. Keep the source device awake with Koalafied open while an upload should run.
  5. Use Refresh now in Settings → iCloud Sync when the app offers it.
  6. Use Retry on a row that has not progressed.

If two devices should share audio, confirm Sync Audio Files is on where you expect uploads, and that the file was uploaded from the device that still holds the original.

What Koalafied does not do​

  • The developer does not run servers that hold your practice records or media.
  • There is no separate copy of your synced data outside your Apple account and devices.
  • The app does not send analytics about sync activity to the developer.
