Connecting Zoom
Koalafied™ can read your Zoom meetings and cloud recordings so you can match them to sessions and keep files with those sessions on your devices.
Before you start
- A Zoom account with cloud recording available if you want recordings.
- Koalafied installed on iPhone, iPad, or Mac.
- For Zoom to stay signed in across your Apple devices, turn on iCloud Keychain (Settings → Apple ID → iCloud → Passwords & Keychain). This is separate from Koalafied’s iCloud sync for practice records.
Connect
- Open Settings → Connections.
- Tap Connect Zoom.
- Sign in to Zoom in the system browser and allow access.
- When Zoom finishes, return to Koalafied. The Connections screen shows your Zoom email and the access granted.
On Mac, sign-in happens in a Koalafied window and won't reuse your browser's Zoom session.
You only need to complete this once per Apple ID when iCloud Keychain is on. Other devices pick up the connection after Keychain syncs (often within a minute; pull Connections to the foreground if it still shows disconnected).
Access we request
Koalafied asks for read-only access so it can:
- Show which Zoom account is connected
- List past and upcoming meetings for matching and booked hours
- List cloud recordings by month, including older months you load when you need them
- Bring meeting transcript, chat, and audio files into a session
We do not ask for permission to change your Zoom account, administer an organisation, or read participant lists.

After you connect
Home shows two Zoom tiles:
- Upcoming lists your booked meetings. Join from the list, even if the meeting has already started.
- Import counts past meetings with recordings that are not in a session yet. Tap it to bring one in.
You can also browse the full meeting catalogue, including older months, in Settings → Connections.
Importing a meeting
Importing brings the transcript, chat, and audio from a meeting's cloud recording into a session.
- If a meeting has more than one recording (for example, it was stopped and restarted), choose whether everything goes into one session or each recording becomes its own session with its own people. Peer-coaching recordings, where two people swap coach and client roles, are placed in the right sessions automatically.
- You can also link a meeting to a session without bringing in any recordings.
- A meeting that has just finished can take a few minutes to appear for import while Zoom prepares the recording.
- When a transcript lands, confirm who is who (Zoom display names linked to people in your list). You can then review the transcript and prepare a clean copy.
Ignoring a meeting
If you do not want to import a meeting, swipe on it in the Import list (or right-click on Mac) and choose Ignore. Ignored meetings leave the Import list. To bring one back, find it in the catalogue under Settings → Connections, where ignored meetings are shown in orange and can be unignored.
Managed Zoom accounts (admin pre-approval)
Some workplaces require a Zoom Marketplace administrator to approve apps before staff can connect them. If Zoom shows a pre-approval or admin message instead of the allow screen:
- Ask your Zoom admin to approve Koalafied for your account or organisation.
- Try Connect Zoom again after they approve it.
Disconnect
Disconnect on any device:
- Asks Zoom to revoke the token when possible (best effort).
- Always removes Koalafied’s Zoom sign-in from the Keychain on that device.
- With iCloud Keychain on, that sign-out reaches your other Apple devices too.
Disconnect does not delete meetings, recordings, or session files already stored in Koalafied.
If you remove Koalafied in Zoom
You can also remove Koalafied’s access from your Zoom account (Zoom’s apps or connected-apps settings). Zoom then notifies a small address on koalafied.app that Marketplace requires for that event.
That notice carries Zoom identifiers only (for example that the app was removed). It does not send your meetings, recordings, chat, transcripts, or Koalafied practice records. The notice is checked and acknowledged. Nothing from it is kept in Koalafied application storage.
Zoom sign-in on your devices stays in iCloud Keychain until you Disconnect in Koalafied or the tokens stop working after Zoom revokes them. The app may still look connected until the next Zoom request fails. Use Disconnect in Koalafied if you want the Keychain entry cleared on your Apple devices.
Privacy
Zoom sign-in stays in your Apple Keychain (and syncs via iCloud Keychain when that is on). It is never stored in your practice-record sync or in export files. Koalafied never ships a Zoom client secret. Full legal wording: Privacy policy.
